What should travelers know before booking?

Bookings are confirmed only after full payment and written confirmation. Most tours start around 5:00 AM, and the meeting point is confirmed in writing. Refunds depend on when written cancellation notice is received. Because Mindo tours take place in cloud forest conditions, participants should be prepared for rain, mud, uneven trails, wildlife encounters, and changing weather.

Tour Terms

The sections below keep booking expectations clear before you confirm your Mindo birding plan.

1. Booking and payment

  • Preferred booking window: Please book at least 48 hours in advance whenever possible.
  • Minimum booking window: Reservations must be confirmed at least 24 hours before the tour start time. Requests inside 24 hours are subject to availability and may include a late-booking surcharge.
  • Day-before bookings: Tours booked the day before must be paid in full, in advance, by Zelle or bank transfer to be confirmed.
  • Confirmation: A booking is confirmed only after full payment is received and Mindo Bird Watching sends written confirmation.

2. Pricing and minimum participants

  • Pricing is based on a minimum of two paying participants.
  • If only one traveler books, the single traveler pays the equivalent of two participants unless we can add the traveler to another confirmed group.
  • If we are able to add a single traveler to a shared group, we will adjust the booking and refund any applicable difference.

3. Start time and meeting point

  • Most birding tours begin at 5:00 AM so the group can reach active birding areas near dawn.
  • Pickup location or meeting point is coordinated and confirmed in writing before the tour.

4. Client cancellations and refunds

  • 48 hours or more before the tour: eligible for a refund of the amount paid, minus any non-recoverable transaction or processing fees.
  • The day before the tour: eligible for a 50% refund of the tour price, minus any non-recoverable transaction or processing fees.
  • Less than 24 hours before the tour or no-show: non-refundable.
  • Approved refunds are issued to the original payment method whenever possible. Processing times vary by bank or payment processor.

5. Rescheduling

  • One reschedule is permitted when requested at least 48 hours before the tour start time, subject to availability.
  • Requests inside 48 hours are treated as cancellations under the cancellation policy.

6. Operator changes and cancellations

  • We may modify, delay, or cancel a tour because of weather, safety concerns, guide illness, road closures, park restrictions, or operational reasons.
  • If we cancel before the tour begins, you may choose a full refund or a reschedule, subject to availability.
  • Tours cancelled by the operator are 100% refundable. Transaction and processing fees are covered by us for operator-initiated cancellations.

7. Participant responsibilities and assumption of risk

  • Participants should inform us in advance about medical conditions, allergies, mobility limitations, or special needs.
  • Participants must follow guide instructions. Wildlife sightings are natural experiences and cannot be guaranteed.
  • Participants should dress for early morning cloud forest conditions, including rain, mud, uneven terrain, and changing temperatures.

8. Children and minors

  • Participants under 18 must be accompanied by a parent or legal guardian, or provide signed consent or waiver documentation when applicable.
  • Age limits may apply depending on route, terrain, weather, and safety conditions.

9. Media ownership and use

  • Unless otherwise agreed in writing, all photos, videos, audio recordings, and other media captured by Mindo Bird Watching, its guides, team members, contractors, or authorized representatives during tours, activities, site visits, or related services are owned by Mindo Bird Watching.
  • Mindo Bird Watching may use, edit, publish, license, distribute, display, and monetize this media for business, educational, promotional, editorial, social media, advertising, archival, and commercial purposes in any format or platform, worldwide.
  • Participants grant Mindo Bird Watching permission to use their name, image, voice, likeness, and appearance when captured in connection with our tours or activities, unless the participant requests in writing before the activity that they not be featured.
  • For minors appearing in photos, videos, audio recordings, or other media, permission must be provided by a parent or legal guardian.

10. Third-party services

  • Some tours may involve third-party providers such as transport companies, lodges, reserves, payment processors, or local service partners.
  • Third-party terms may apply and can affect scheduling, access, and refund timing.

11. Force majeure

  • We are not responsible for changes caused by events beyond our reasonable control, including extreme weather, natural disasters, strikes, epidemics, government actions, transportation interruptions, or similar events.
  • We evaluate these situations case by case and will work with you to reschedule or refund where possible.

12. Liability

  • To the fullest extent permitted by law, liability is limited to the amounts paid for the applicable tour.
  • We are not liable for indirect, incidental, or consequential damages.

13. Booking and payment methods

  • We currently accept Zelle for USA payments, Banco Pichincha bank transfer in Ecuador, and PayPal for Europe.
  • All tours must be paid in full in advance unless a different written arrangement is confirmed by Mindo Bird Watching.
  • Prices are in USD unless otherwise stated. Park fees, government taxes, or third-party charges may change and may be charged separately when applicable.

Risk, liability, and legal responsibility

Assumption of risk

Birdwatching and outdoor activities in Ecuador involve inherent risks, including uneven terrain, unpredictable weather, insects, wildlife encounters, and remote locations with limited medical access.

Release of liability

Mindo Bird Watching LLC, its owners, affiliates, and partners are not responsible for injury, loss, delay, expense, or damage caused by third-party providers, independent guides, transportation companies, lodging facilities, or other suppliers.

Independent contractors

Mindo Bird Watching LLC may act as an intermediary to facilitate tours. Guided services may be provided by independent local contractors in Ecuador, who are not employees or agents of Mindo Bird Watching LLC.

Travel insurance

We strongly recommend comprehensive travel insurance, including medical evacuation coverage, before departure. Mindo Bird Watching LLC is not responsible for medical costs, evacuation expenses, or trip interruptions.
